Delivery Policy

1. Scope of Application

This Shipping Policy applies to all export orders for our vacuum fitting products. Unless otherwise agreed in writing by both parties in the Proforma Invoice (PI) or Sales Contract, this policy shall take effect automatically.

2. Order Lead Time

2.1 Standard stock vacuum fittings (regular KF, CF flanges, straight pipes, standard elbows): Shipment will be arranged after receipt of deposit / full payment and confirmation of product specifications. The delivery time shall be subject to the time agreed in writing by both parties.

2.2 Non-standard custom parts, drawing-machined parts and special material items (2205, Hastelloy, 310S, aluminum, etc.): Lead time commences on the date when the buyer completes written confirmation of drawings and technical parameters and the agreed deposit is received. The specific delivery date shall be subject to the time confirmed in writing on the Quotation or PI.

2.3 The agreed delivery date is a firm delivery schedule. The delivery schedule may only be extended in cases of raw material shortage, factory maintenance, customs inspection, force majeure (natural disaster, pandemic, port strike, etc.). We will notify the buyer in writing promptly, and we shall not be liable for late delivery penalty under such circumstances. Or within the original lead time, both parties may negotiate and agree on a new delivery date in writing. Except for the above two scenarios, the Seller shall deliver goods by the agreed date.

2.4 The Buyer shall promptly confirm drawings, specifications, material and surface finish requirements. Any delay caused by repeated drawing revisions or delayed technical document confirmation by the Buyer shall be borne by the Buyer, and the original lead time shall be automatically extended accordingly.

3. Trade Terms, Title of Goods and Risk Transfer

3.1 Default quotation term: EXW (Ex Works). The Buyer arranges trucking, customs declaration, sea/air freight and insurance. Title of goods and transportation risk shall transfer to the Buyer once goods are loaded on the truck at our warehouse.

3.2 Optional terms: FOB / CIF / CFR (as agreed in PI):

    · FOB: Risk transfers to the Buyer after goods are loaded on board the vessel at the port of shipment.

    · CIF/CFR: The Seller arranges sea freight and purchases basic marine cargo insurance. However, risk of cargo damage transfers to the Buyer after loading on board. The insurance only covers loss or damage of goods during sea transit, excluding destination port customs clearance, duties and demurrage charges.

3.3 All destination port customs clearance fees, import duties, VAT, customs brokerage fees, terminal handling charges, container detention charges and warehousing fees shall be borne by the Buyer by default, unless the PI specifies in writing that such costs are to be borne by the Seller.

4. Packaging Specifications (Special for Vacuum Fittings)

4.1 Standard vacuum fittings: Sealing end faces (knife edges, O-ring grooves) shall be specially protected, individually wrapped with PE film plus bubble bag to avoid scratches and dents. Flange sealing surfaces shall not directly contact hard cartons.

4.2 Long pipes and heavy-wall fittings: Packed in wooden frames or non-fumigated wooden cases to prevent bending and impact during transit.

4.3 Small accessories: Individually moisture-proof packed; packing list accompanies the shipment.

4.4 Shipping marks: Printed as requested by the Buyer. If no special requirement, standard shipping marks will be used (Order No., destination port, package quantity, gross/net weight, dimensions).

4.5 If the Buyer requires special packaging (fumigated wooden cases, anti-rust oil, vacuum moisture-proof packaging), such requests shall be submitted in writing before order placement, and extra packaging costs shall be borne by the Buyer.

5. Transportation Options

5.1 Sea freight: Preferred for bulk vacuum fittings, including FCL (Full Container Load) / LCL (Less than Container Load). Transit time depends on port of loading and destination port.

5.2 Air freight / Courier (DHL/Fedex/TNT): For small batches of samples and urgent orders. Freight cost is relatively high, suitable for small flanges and accessories.

5.3 Inland trucking: Under EXW term, the Buyer’s nominated forwarder picks up goods at our factory. Under FOB term, the Seller arranges trucking to the port of shipment.

The Seller is only responsible for arranging the transport service provider. Claims against the carrier shall be filed directly by the Buyer with freight forwarder or shipping line.

6. Shipping Documents

After shipment, a full set of shipping documents will be provided as per order agreement: Commercial Invoice, Packing List, Bill of Lading / Air Waybill, Material Test Certificate (3.1 / 3.2 material report), CE/PED/ISO certificates, Certificate of Origin, etc. Electronic copies of certificates will be sent first; original documents can be sent together with goods or by courier. Material Test Certificate applies only to this batch of products. For custom parts, NDT or spectroscopic test reports can be provided upon request (test fees shall be borne by the Buyer).

7. Goods Inspection upon Arrival, Cargo Damage and Claim Time Limit

7.1 When goods arrive at destination port / receiving location, the Buyer must conduct visual inspection of outer packages during unloading. If outer cartons are damaged, deformed or water-stained, photos and videos shall be taken in the presence of the carrier, damage remarks shall be noted on the Bill of Lading / Receipt, and cargo damage claim shall be filed with freight forwarder or shipping line.

7.2 For internal product breakage or dents on sealing surfaces: The Buyer shall submit complete evidence (photos of outer package, photos/videos of damaged goods, carton marks) to us within 7 calendar days after goods arrival. Failure to submit evidence within the time limit shall be deemed as acceptance of intact goods.

7.3 Damage caused during transportation shall be claimed by the Buyer against the insurer or carrier. Under CIF term, we can assist by providing insurance documents for claim settlement, but we shall not be liable for cargo damage compensation.

8. Rejection, Demurrage and Abandonment of Goods

8.1 If the Buyer unreasonably rejects goods manufactured and shipped in accordance with the contract, all freight, demurrage, warehousing and return freight shall be borne by the Buyer, and the deposit will not be refunded.

8.2 All losses arising from failed customs clearance or inability to take delivery due to the Buyer’s import qualification issues shall be borne by the Buyer.

9. Order Modification and Cancellation Before Shipment

9.1 Stock orders: If the Buyer submits written cancellation request before shipment, both parties will negotiate. If goods have been packed or trucking arranged, packing and handling charges will be deducted.

9.2 Custom fabrication, drawing parts, cut pipes and special material orders: Once raw material cutting and production start, order cannot be cancelled and deposit is non-refundable.

10. Force Majeure Clause

If delivery cannot be completed on time due to force majeure events (war, port closure, natural disaster, sudden change of customs policy, transport capacity disruption), the Seller shall not be liable for breach of contract. The Seller may choose to postpone delivery or negotiate order cancellation and refund payment for unproduced parts.
